Rules & Terms and Conditions
The Rental Agreement comprises these terms and conditions and the rental document setting out the hire details which is provided with each vehicle at the point of hire (referred to in these terms and conditions as the “Rental Document”). The Rental Agreement is made between DKM World Rent a Car Limited (herein referred to as “the owner”) and the person and/or company signing the Rental Document (herein referred to as “the hirer”) whose particulars are recorded in the Rental Document. It is hereby agreed as follows:
Allocated Vehicle
The vehicle allocated to the Hirer shall be as described in the category or similar. (For example, if a car is chosen from the A/M category a similar car in the same category will be allocated)
Use of The Vehicle
Not to permit the vehicle to be driven by anyone than himself or person approved by the Owner. Further it is the Hirer’s responsibility to make sure that all drivers of the vehicle are designated drivers and their names and details appear on the appropriate space on the other side of this rental agreement. They must be over 21 years of age and holders of a valid full driving license for a minimum of 3 years. Drivers aged between 21-24 are required to pay a Young Drivers Insurance with a surcharge of €5.00 per day. Drivers aged 25 years and over, need to have held a valid driving license for a minimum of 1 year. The Maximum driving age is 70 years old.
The Hirer undertakes that the vehicle will not be used:
- For paid carriage of passengers and in races
- To push or tow any vehicle or trailer
- By anyone under the influence of alcohol or drugs
- For illegal purposes
- While overloaded with passengers, in other words carrying more passengers permitted by the registration papers of the said vehicle
The Hirer undertakes to keep the said vehicle closed and locked when not in use, keeping in his possession the vehicle documentation, which shall in no case be left in the vehicle.
The Hirer shall in no event assign, sell, mortgage or pledge this contract, the vehicle, equipment or tools.
The Hirer may drive the car only on roads within geographical area of Cyprus which are under the full control of the legal and recognised Government of the Republic of Cyprus or British Base Areas. The vehicle may not be driven in areas or roads at present under the control of the Turkish occupation forces or Turkish Cypriots or nearby proximity to such areas. In such a case the Hirer is not only excluded from any insurance cover, but he is also excluded from any legal or breakdown cover.
The Hirer may not drive the car on non-asphalt covered roads, dirt or uneven roads. The Hirer will be held personally responsible for any violation (accidental or deliberate) of any of the above rules either by himself or by any of the drivers of the car. He also remains personally responsible for the entire amount of all direct or indirect damages or expenses, or cost caused to the vehicle or the Owner, regardless of any insurance or other covers or waivers purchased. Further, any violation of any of these undertakings authorises the Owner to demand return of the vehicle forthwith.
Conditions of the Vehicle
The Hirer acknowledges that he received the said vehicle in proper operating condition and clean.
Tyres: All tyres are in good condition, without punctures. In the event of damage to any of them by any cause other than normal wear, the Hirer agrees to replace the same forthwith at his expense with a tyre of the same quality and dimensions. The hirer is excluded from responsibility if he has obtained and paid for the Extra Damage Waiver (EDW). The EDW insurance includes an excess of €100. In case of any damage, the hirer must immediately notify the owner of the vehicle (i.e., DKM WORLD RENT A CAR LTD, the rental company with which the agreement was made) in order to activate the EDW insurance coverage. Failure to notify the owner immediately and returning the vehicle with any kind of damage without prior notice will result in the EDW insurance not being activated, and the hirer will be fully liable for the total cost of the damage. Sump of the vehicle.
Car Key: The Hirer remains responsible for the cost of a replacement key, in case of loss or damage. Further in the case that the Hirer loses the car key, he is not entitled to any refund in terms of ‘lost time’ from his car rental term. The same applies in the case that the keys are locked in the car. No insurance cover or waiver applies.
Upholstery and interior space: The Hirer remains responsible for the cost of repair of any damages on the upholstery or interior space of the vehicle No insurance cover or waiver applies.
Engine: The Hirer agrees that he will respond properly to any panel warning light/screens and or messages of the vehicle. Failure to do so results in the Hirer personally responsible for any damages on the engine or other parts of the vehicle. No insurance cover or waiver applies.
Rental – Prepayments – Extensions
The rental price is determined by the applicable rate lists and are payable in advance. In any case prepayment may not serve to extend the rental agreement. If the Hirer wishes to keep the vehicle for a period exceeding that agreed to originally, and in order to prevent disputes, he shall, after obtaining the Owners agreement, prepay for the extension. The Hirer agrees to return the vehicle to Owner on the date specified in the rental agreement. Return of the vehicle by the Hirer to the Owner at the designated location terminates the contract. The Hirer cannot return the car to any other place than the one specified on the rental agreement without written consent from the Owner.
In the case the Hirer does not return the car on the agreed date and/or place, the Owner preserves the right to terminate the rental agreement and collect the car on his own without monetary or legal obligations against the Hirer. The Hirer still remains responsible for all rental charges or expenses that may arise due to the above action. In the case the Hirer returns the vehicle to the Owner before the agreed period the Hirer shall not be entitled to any refund of the agreed rental agreement. Any outstanding balance remains payable by the Hirer.
Payments
The Hirer undertakes to pay the Owner on demand:
a) The additional charge of intercity service, if any, or if the said vehicle is left at a place other that the stipulated without the owners written consent, a lump sum stated in the applicable rate list.
b) The additional charges for out of opening hours or out of town limits delivery of the said vehicle.
c) The rental time charges, the special accident insurance premiums and the miscellaneous fees and charges.
d1) If the Hirer paid for Collision Damage Waiver he will be covered against the damage to the said vehicle to be caused from collision as a result of his negligence except the amount that is indicated as deductible (excess) amount in the CDW row on the front side of this rental agreement.
d2) If the Hirer did not pay for Collision Damage Waiver he is responsible for the market value/cost of replacement of the said vehicle.
d3) With or without CDW, customer will be excluded from any coverage in the case of customer negligence and non-compliance with the conditions of both sides of this rental agreement. In such case, the full damage cost will be payable to the Owner.
e) All direct and indirect taxes and assessments payable on the rental. Premiums, charges and allowances specified in all paragraphs.
f) Upon demand for payment, the payment of the sums due pursuant to this contract by the Hirer to the Owner shall be paid within 48 hours. If the Hirer defaults payment, as well as the amount in principle and recoverable costs, the Hirer shall have to pay the contractual interest at prime cost plus 3%.
g) The Hirer remains responsible for all fines, charges, costs and taxes for any and all infringements of traffic, parking or other laws for which the vehicle the Hirer is responsible for during the term of the contract plus an amount of €35 as admin costs.
h) The Hirer agrees to pay all cost damages, charges produced in relation to topics or conditions described in all articles or paragraphs of both sides of this rental agreement.
Insurance
- The third-party insurance of the said vehicle is according to the terms and conditions of the relevant insurance policy with the Hire Risk Pool of which knowledge by the Hirer is confirmed and which he undertakes to observe. It does not cover the driver for death or injuries.
- The Hirer hereby approves the said policy and undertakes to observe the terms and conditions thereof. The Hirer further agrees to take all necessary steps to protect the interests of the Owner and its Insurance company in the case of accident during the term of this Rental Contract and in particular:
a) To report to the Owner immediately of any accident, theft or fire, even partial and similarly to the police.
b) To include in this report the circumstances, date, place and address of the owner of the other vehicle involved, the number plate of such vehicle, the name of such owners insurance company and the number of the policy.
c) To attach to such report any available police report.
d) In no event to discuss liability, deal or settle with parties relative to the accident. Any infraction of he above excludes the Hirer from any insurance/CDW coverage. - Carried clothing goods, or any other article are not covered.
- The vehicle is insured only for the rental period shown on the reverse side of this page. Thereafter, unless an extension is agreed to, no insurance will be valid and the Hirer is fully responsible for any accidents which the Hirer may have caused.
- The Owner declines any responsibility for objects left in the vehicle. Personal belonging, GPS navigation systems and Baby seats remain at Hirers responsibility at all times.
- Any damage resulting from poor or bad use of the vehicle, for example driving on poor or uneven roads will be the Hirers responsibility.
- The Owner declines any responsibility to third parties for injury or damage that the Hirer may cause during the rental period if he has wilfully supplied the Owner with false information such as, his identity, address or validity of his driving license. In that case the Hirer is not covered by the insurance policy.
Maintenance and Repair
Normal mechanical wear is for the account of the Owner. If the vehicle should be laid up, the repairs may be made only with written agreement and according to the Instructions of the Owner. Repairs must be covered by a receipted and itemised bill, with which the replaced defective parts must be presented.
Petrol and Oil
Except if otherwise stated overleaf petrol & diesel are the Hirer’s responsibility. The Hirer must take a standing check of the oil and water levels. If required and changed during use must have the Owners authorisation, and a receipted and itemised bill must be presented.
Liability
The Hirer are criminally liable for infringements committed by them while driving the vehicle, as provided In the Highway Code.
Validity of Contract
No amendments of terms and conditions of this contract is valid unless produced in writing.
Cancellation or Amendment of Booking:
- To cancel a reservation, an email titled “Cancel” must be sent to [email protected], along with the car booking confirmation received during the initial booking. Refunds will be processed back to the original payment method, unless otherwise arranged. The initial deposit will be reimbursed within 14 days upon receipt of the refund request.
- Cancellation of bookings does not incur additional charges, except for a payment service fee amounting to 6% of the total paid.
- Cancellations without penalty are permissible up to 7 days before the rental commencement date. Cancellations or modifications beyond this period will result in the full retention of the initial deposit as compensation for the cancelled booking.
- Either the customer or the rental company reserves the right to cancel a booking within 24 hours after confirmation and payment of the initial deposit. In such cases, the deposit will be refunded as per clause 2.2. Prior notification must be provided to the other party and/or Dkm World Rent a Car representatives before vehicle pickup.
- Modifying a booking entail cancelling the existing reservation and creating a new one under standard terms. It’s important to note that the previously booked vehicle becomes available to other clients upon cancellation.
- In the event that the car rental company is unable to provide the reserved vehicle due to breakdown or unforeseen circumstances beyond their control, they are obligated to furnish a vehicle of equal or superior class under identical terms and pricing. Under

General Conditions
The owner rents the car to the Hirer where by signing the contract, the renter accepts and undertakes to observe and follow the terms and conditions.

PAYMENTS
The Hirer undertakes to pay to the Owner on demand:
- Any surcharge applicable for inter-city travel or if the vehicle is returned to a location other than the one specified, without prior written consent from the Owner.
- Additional fees for vehicle delivery outside of regular operating hours or beyond the boundaries of the town.
- Charges encompassing rental duration, specialized accident insurance premiums, and miscellaneous fees and expenses.
- An amount restricted to the prevailing rate outlined for repairing potential damages inflicted upon the vehicle if the Hirer opted out of covering the deductible elimination charge (Collision Damage Waiver).
- Provided the Hirer has procured Collision Damage Waiver under this agreement, they will be protected against damages resulting from collisions due to their negligence, excluding the deductible amount specified under CDW.
- In the event that the Hirer has not opted for Collision Damage Waiver under this agreement, they are held accountable for the market value or cost of replacing the vehicle in question.
- Regardless of whether Collision Damage Waiver is in effect, the customer will forfeit coverage in cases of negligence and failure to adhere to the terms outlined in both sections of this rental agreement. Consequently, the deductible amount or even the entire cost of damages will be payable to the owner.
- It is crucial to note that if the driver has not chosen or paid for a partial insurance through the Optional Extras prior to renting a vehicle, they are fully liable to cover the entire cost of any damages sustained by the vehicle during their possession. In such instances, with no maximum excess liability applicable.
In the event of a request for payment, the Hirer is obligated to settle the amounts owed to the Owner in accordance with this contract within 48 hours. Failure to do so will result in the Hirer being liable for contractual interest at the prime rate plus three percent, in addition to the principal amount and recoverable costs.
All fines, fees, expenses, and taxes incurred because of traffic violations, parking violations, or any other legal infractions during the contract period are the sole responsibility of the vehicle, the Hirer, or the Owner, except however for infringements resulting from fault on the Owner’s part.
Insurance Cover & Limitations
Third party insurance with no excess liability is included in the price. This insurance, in compliance with Cyprus law, covers the cost of repairs resulting from any accidents caused by the Hirer to third parties.
Customers are provided with the choice to opt for Collision Damage Waiver (C.D.W) as an extra insurance policy, covering any damages resulting from collisions involving the rented vehicle.
Please be aware that the partial insurances offered by KP Car Rentals do not provide comprehensive coverage for any of our rental vehicles. A deductible responsibility is applicable to all Hirers who opt for C.D.W based on each car group. The deductible amounts are as follows:
- Group M, N, E, H, C, D: €3000 (maximum amount payable by Hirer)
- Groups I, J, S, R: €4000 (maximum amount payable by Hirer)
- Groups F, G, P, U: €8000 (maximum amount payable by Hirer)
- Groups L, W, X: €20,000 (maximum amount payable by Hirer).
Customers who have purchased the Tires, Windscreen, Body partial insurance are exclusively covered for damages occurring specifically on these three areas of the vehicle: Tires, Windscreen, and Body.
It’s crucial to note that if the driver has not opted for or paid for a partial insurance through the Optional Extras prior to renting a vehicle, they are fully liable to cover the entire cost of any damages incurred by the vehicle while in their possession, with no maximum excess liability in place.
The Hirer is required to provide a valid credit card to authorize a security deposit for the vehicle. A minimum amount of €450 is necessary for the security deposit, excluding luxury cars.
The security deposit is refunded at the conclusion of the rental agreement, typically within 15 days, provided the vehicle is returned without any damages, theft, or violations, and the same amount of fuel.
Following the specified 15-day period mentioned above, the owner, as outlined in the rental agreement, retains the authority to charge the Hirer’s credit card for any fines or violations that may arise subsequent to the conclusion of the rental period.
For long-term rentals extending three months or more, the Hirer is required to provide a security deposit equivalent to two months of hire in advance. This amount is held until the end of the rental agreement, typically released within 15 days, contingent upon the vehicle’s return without damages, theft, or fine violations, and with the same amount of fuel.
The insurance coverage for the Hirer and any additional drivers is strictly applicable only during the specified period outlined in the signed rental agreement. However, this insurance becomes void under certain circumstances:
- If the driver is found to be under the influence of alcohol or drugs.
- When the vehicle is operated off-road or on unpaved roads.
- If an unauthorized individual, not listed on the rental agreement, is driving the vehicle.
- When the vehicle is utilized for any illegal activities.
- In instances of misuse or improper handling of the vehicle.

The Hirer is obligated to remain on-site during any incident unless directed otherwise by the company or a police officer present.
The Hirer acknowledges that the vehicle shall not be utilized for the following purposes:
- Engaging in illegal activities, races, or transporting passengers for payment.
- Towing trailers or other carriages.
- Operating the vehicle while under the influence of alcohol or drugs.
- Driving off-road or on unpaved surfaces
- The Hirer must ensure that the vehicle is not overloaded with passengers, meaning it cannot carry more passengers than permitted by the registration papers of the vehicle.
- Additionally, the Hirer will assume personal responsibility for any violation, whether accidental or deliberate, of the aforementioned rules, committed either by themselves or by any drivers of the car.
Furthermore, the Hirer retains full personal responsibility for covering all direct or indirect damages, expenses, or costs incurred by the vehicle or the owner, irrespective of any insurance or additional coverage purchased. Moreover, any breach of these obligations authorizes the Owner to immediately request the return of the vehicle.
KP Car Rentals assumes no liability for transportation in the event of accidents or damages that occur in off-road areas. Insurance becomes void when crossing the border to the north side of Cyprus. Please note that visiting the occupied side of Cyprus is at the Hirer’s own risk, as KP Car Rentals cannot provide assistance in case of breakdowns or accidents. KP Car Rentals reserves the right to pursue any amount arising from damages or accidents occurring on the north side of Cyprus.
KP Car Rentals has the right to charge the Hirer’s or additional driver’s credit card for any unsettled amounts from damages/fines occurred during the rental period.
The Hirer is responsible for fuelling the vehicle with the appropriate type of gasoline. Failure to do so obligates the Hirer to cover the repair costs resulting from this error, as it is not covered by insurance. The Third-Party insurance provided for each rental vehicle is subject to the Terms & Conditions specified in the relevant insurance policy with the Hire Risks Pool. In the event of accidents, the insurance does not cover the driver for any costs related to death or injuries. Any disputes regarding this rental will be resolved in accordance with Cyprus Law. If the Hirer is an individual, the court will be selected based on local law, while if the Hirer is not an individual, the court will be chosen based on the location of the Owner’s registration office.
Financial Liabilities
The Customer acknowledges and unequivocally agrees that any financial obligations arising from this contract will be debited from their credit card by the owner without requiring the hirer’s signature or further authorization for such deductions. The owner’s obligation is restricted to furnishing the hirer with regular receipts detailing the nature and expense of such deductions.
Deliveries & Collections
Our branch is situated in the Lythrodontas area of Nicosia. We provide “meet & greet” services at Larnaca airport and all hotels within the Nicosia and Larnaca regions.
All our vehicles are available for rentals spanning short durations (minimum of one day), as well as weekly and monthly periods. Our rates include airport delivery and collection fees. We strongly advise all customers to ensure the accuracy of their flight and contact details when making a booking.
The Hirer is responsible for returning the vehicle at the agreed-upon time, location, and with the same fuel level as specified in the signed rental agreement. A one-way fee is applicable for changes in drop-off location, while out-of-hours fees apply to rentals occurring between 19:00 and 07:00.
To avoid additional daily charges, we recommend informing us of any changes within a reasonable timeframe via phone at (+357) 22315317 or email at [email protected]. We advise providing at least 48 hours’ notice for changes. Please be aware that during busy periods, extensions may not be guaranteed.
Failure to return the vehicle at the agreed time, date, or location will result in extra charges, which vary according to the vehicle group. All vehicles must be returned with the same fuel level as when rented. Unused days are non-refundable. We suggest checking the vehicle for personal belongings during drop-off, as KP Car Rentals does not accept responsibility for items left in the vehicle.
The Hirer is accountable for fines resulting from parking or road violations during the rental period. If the Hirer neglects to disclose or settle any fines, the company reserves the right to charge the Hirer’s designated credit card as specified in the rental agreement.
Cancelation Policies
Failure by the Hirer to collect the vehicle at the agreed time and day, with a grace period of one hour, without providing sufficient advance notice, constitutes a “No show,” resulting in no refund.
If the Hirer cancels the reservation less than 48 hours before the agreed pick-up time and date, a fee equivalent to 2 days of rental cost is charged. However, if the Hirer cancels the reservation at least 48 hours prior to the agreed pick-up time and date, a full refund is issued.
In case of reservation cancellation, the full amount will be refunded provided that the cancellation is made 48 hours prior to the scheduled appointment
SETTLEMENT OF DISPUTES
For any dispute relating to this contract and so far, as permitted by local law:
- If the Hirer is an individual, the court will be chosen according to the local law;
- If the Hirer is not an individual, the court will be chosen exclusively according to the place where the Owner has his registration offic
Rental- Prepayment- Extension
The rental period is subject to a minimum charge of 24 hours. This implies that even if the car is rented for a shorter duration, the fee for a full day will apply. For instance, renting a car from Monday morning until Tuesday afternoon incurs charges for two full days.
The Hirer is obligated to return the vehicle to the rental agent on the specified date indicated in the rental agreement. The contract is concluded upon the Hirer’s return of the vehicle to the designated location.
Should the Hirer choose to return the vehicle to the owner or agent prior to the agreed-upon period, no refund of the agreed rental charges will be issued. Any outstanding balance remains the responsibility of the Hirer. The owner may credit the Hirer with a pro rata amount for a future rental agreement.
The Hirer agrees to provide both their permanent and local addresses the rental agent.
